Most organizations rely on dozens of software tools, but few have a clear view of what's actually being used. The result is money wasted on unused licenses and overlapping tools.

Hapstack tracks usage across more than 2,500 SaaS applications, giving you real-time, employee-level visibility into what’s in use and where there’s waste.

Keep reading to learn how Hapstack can help you take back control of your stack and avoid paying for tools no one uses.

Key Features

Hapstack does a lot, but here are some of the most useful things it can help with.

Reducing wasted spend. Everything’s a subscription these days, and they add up fast. According to the Vertice SaaS Inflation Index 2025, companies are spending around $9,000 per employee per year on software alone.

The problem? A huge chunk of that spend goes to waste. Think tools that aren’t being used anymore, individual licenses just sitting there unused, random services people bought but nobody keeps track of, software that never got de-licensed when someone left, and multiple tools doing the exact same thing.

Hapstack helps cut all that down by giving you real visibility into what’s actually being used and by whom. It makes it easy to spot the waste, clean things up, and keep software spend under control.

Instant stack discovery. Hapstack gives you a full view of your organization’s stack. After deployment, every tool used in the last six months shows up, along with its usage history, so you can see what tools actually get used. You don’t have to wait around for data to trickle in, the insights land almost immediately. It’s the moment things click and you see exactly what Hapstack can do.

Real-time usage intelligence. Hapstack is fast. Most similar solutions rely on data from Okta SSO or deeper hooks into each app, which means you're usually looking at delayed data. Thanks to how Hapstack monitors browser-based activity directly, you get insights in real time.

Shadow IT detection. Most tools only show usage of software your organization has officially approved. Hapstack picks up everything, and it spots new tools the moment someone starts using them. They show up automatically in the dashboard, making Hapstack the first real answer to fighting Shadow IT.

Categories. Hapstack groups tools into categories so you can see usage across your organization by type, like AI chatbots, sales analytics, or document creation. This makes it easy to spot overlap when teams or individuals are using different tools for the same purpose. It’s a simple way to identify where consolidation might make sense.

Employee Offboarding. When someone leaves the company or moves into a different role, it's often unclear which tools they were using and what can be de-licensed. Hapstack shows usage by person, including when each tool was last used. This helps clean up access, cut unused licenses, and avoid paying for tools no one is using.

Agency View. For agencies or consultants managing multiple clients, Hapstack provides a separate dashboard for each one. You can quickly switch between clients, with all data kept separate and organized. It’s a straightforward way to monitor software usage and spend across multiple organizations from a single account.

Setup is Easy

Hapstack is built for Google Workspace organizations and takes just minutes to set up. Once you sync your Google Workspace, you can deploy the browser extension across your entire organization. It then installs silently on all machines, with no action needed from employees. No one has to log in, and usage data starts flowing in automatically. You can also disable tracking for specific people at any time, like the CEO or anyone else you choose to exclude.

Found a tool that isn’t being tracked? You can submit it from the dashboard, and it'll be added shortly.

Pricing

Unbelievably, Hapstack is 100% free. It works on a give-to-get model: in exchange for free access, Hapstack uses de-identified and aggregated usage data for benchmarking, market anaylsis, and business development. Individual-level data is never shared or exposed.

For companies that prefer not to share any data at all, even in aggregate, there’s a paid plan available. It’s $1 per employee per month and includes all the features of the free plan, along with the ability to opt out of data sharing and access to extended support.

Keep in Mind

Hapstack is intentionally lightweight, so there are some limitations to be aware of.

First, it only works for Google Workspace organizations. If your company runs on Microsoft 365, Hapstack isn’t the right pick at this time. It’s also limited to tracking browser-based software usage, accessed through Chrome. If some of your team uses Safari, Firefox, Edge, or other browsers, their activity won’t be tracked. That said, most Google Workspace organizations see the vast majority of their employees on Chrome.

Hapstack is focused on SaaS discovery and usage. It doesn’t connect directly to apps, so it won’t show license counts, seat assignments, or spend data. Other tools may offer that, but Hapstack is built to focus purely on usage, which is often the hardest data to get.

Looking Ahead

Hapstack is still early in its journey. Here's where it’s headed:

  • Support for Microsoft 365 based organizations
  • Integration with finance tools like QuickBooks to surface cost data
  • Insights into popular tools by category or industry

These aren’t live yet, but they reflect the direction Hapstack is exploring. The team is taking great care to ensure that the core experience will stay fast, simple, and design-focused.

Final Verdict

Rating: 4.7/5

Hapstack does one thing, and it does it well: it shows you what software is actually being used, and by whom. It sounds simple, but most companies struggle to get a clear answer. Between unused licenses, tools that quietly stick around after someone leaves, and teams adopting different products to solve the same problem, SaaS bloat builds up fast. Hapstack gives you a real-time, employee-level view of what’s actually in use across your organization.

Pair that with its dead-simple setup and the fact that it’s completely free, and it’s hard to find much to criticize. The team behind Hapstack it is highly motivated, responsive, and clearly focused on building something great.

If your organization runs on Google Workspace, there’s really no reason not to try it.
